Signs you have outgrown spreadsheets

· 4 min read · ARK Global Ventures

Spreadsheets are flexible, familiar and quick to set up, which is exactly why so many businesses run on them. The same qualities become a problem as teams, customers and volumes grow. These are the common warning signs.

Warning signs

  • Several versions of the same file are in circulation, and nobody is sure which is current.
  • One person understands the formulas, and the business depends on them being available.
  • The same data is typed into more than one place, so figures do not match.
  • Reports take hours to assemble by hand and are out of date by the time they are read.
  • There is no reliable record of who changed what, or why.
  • Hand-offs between people happen by email, and work gets lost or delayed.
  • Mistakes are found by customers rather than by the process.

Why it matters

Spreadsheets store data, but they do not enforce a process. There is nothing to stop a step being skipped, a number being overwritten or a file being copied. As more people rely on them, small errors multiply and leaders lose visibility of what is happening.

What to do about it

You do not need to replace everything at once, and some spreadsheets will always be useful. A sensible approach is to work through it in stages.

  • List the spreadsheets that the business genuinely depends on, and who owns each one.
  • Map the workflow around the most critical one: who enters data, who approves it, who uses it.
  • Decide what a better system must do, such as a single source of data, clear stages and basic reporting.
  • Choose a tool that fits the workflow, move the data carefully and train the people who use it.
  • Retire the old spreadsheet once the new system is trusted, so there is only one version of the truth.

Start with the biggest pain

Begin with the spreadsheet that causes the most delay, rework or risk. A focused first project shows what is possible and gives the team confidence before wider changes.
